Advisor Facilitated Interventions

Early interventions encompass the “systematic method of recording and communicating student behaviors that contribute to student attrition” and “effective intervention at the first indication of academic difficulty” (Tampke, 2013). Intervention initiatives can be initiated by faculty, campus partners, advisors and success coaches.  Regardless of where and how interventions originate, academic advisors are uniquely suited to provide proactive and indivualized interventions to students in their caseloads and within their colleges and departments. 

Purdue Advisor Facilitated Interventions:

Overview

Academic Advisors use BoilerConnect’s Advanced Search feature to compile a list of their assigned advisees who are enrolled in fewer than 12 credit hours. Advisors will send messaging to the students with information on why full-time enrollment is important for progression, on-time graduation, etc. Advisors may encourage enrollment in 2nd 8-week courses or summer session if appropriate.

Intended Outcomes

The intended outcome of the Fewer Than 12 Credit Hour Outreach is to inform students of the consequences of below full-time enrollment (financial, academic, etc.). Leveraging their preexisting relationship with students, advisors encourage student to discuss enrollment status and encourage enrollment in part-of-term courses, or alternate sessions like summer.

Timeline for Intervention

Weeks 0 and 1 of the term

Fall – August

Spring – End of December/Early January

Intervention Process

  1. Access the "Advanced Search" tab in BoilerConnect
  2. In the drop-down "Term Data" select the current semester
  3. Enter "11" into "Max credit hours"
  4. Select “My Students Only" checkbox at the bottom of the page
  5. Run report
  6. Select all students by clicking the checkbox at the top
  7. In the "Actions" drop-down, select “Send a Message to Student”

Use your judgment if you have context on why certain students are not registered for a full-time credit load. You can use the below template email or tailor as you see fit.

Keep the below questions in mind as you reach out to these students:

  • Has the student already expressed to you the reasons why they are below this credit hour threshold? If so - no need to duplicate outreach.
  • Are there any specific 2nd half-term courses for your major(s)?
  • Are there options for summer courses for your major(s)?

Sample Message

Hello [student], 
 
I am contacting you because I noticed you are enrolled in fewer than 12 credit hours. Enrolling in a minimum of 12 credit hours a semester is important for progression in your major, retaining your financial aid, and graduating on time. 
 
We can discuss options for second 8-week courses, summer course work, and staying on track with credit hours in future semesters. 
 
If you would like to talk through options, if you have any questions, or if there is anything I can do to support you, please contact me.

  4. Document the outreach with “credit hour enrollment intervention” and be sure to select the “Intervention Outreach” Note Reason

Overview

Academic advisors intervene with students who have not registered for the current term.  Advisors send gentle nudges through email and text messages that seek to identify students’ barriers to registration. 

Intended Outcomes

The goal of this intervention is to leverage the established relationship with advisors to encourage students to connect with resources if they are having difficulties that have led them to not register for the current term.

If the student is not returning to Purdue, advisors gather context as to why.

Timeline for Intervention

Just before the start of a new term through the end of the first week of classes (August/January)

Intervention Process

  1. Access the "Advanced Search" tab in BoilerConnect
  2. In the drop-down "Enrollment History" enter the previous fall/spring term into “Enrollment Terms (In Any of these)”
  3. Click the + to see additional options
  4. Enter the semester you are encouraging students to register for into “Enrollment Terms (In None of these)”
  5. In the drop-down “Performance Data” enter “120” into “Max Credits Earned”
  6. Select “My Students Only" checkbox at the bottom of the page
  7. Run report
  8. Select all students by clicking the checkbox at the top
  9. In the "Actions" drop-down, select “Send a Message to Student”

Use your judgment if you have context on why certain students are not registered for the upcoming semester. You can use the below template email or tailor as you see fit. 

Keep the following in mind as you reach out to these students:

  • Has the student already expressed to you the reasons why they are not registered for the upcoming semester? If so - no need to duplicate outreach. If you already know a student will not be returning to Purdue, please issue the “Student Not Returning” Alert.

Intended Outcomes

The goal of this intervention is to leverage the established relationship with advisors to encourage students to connect with resources if they are having difficulties that have led them to not register for the upcoming term.

If the student is not returning to Purdue, advisors gather context as to why.

Timeline for Intervention

After schedules have been released but before Open Registration begins for continuing students (December/May)

Intervention Process

  4. Enter the upcoming term into “Enrollment Terms (In None of these)”

  8. Select all students by clicking the checkbox at the top
  9. In the "Actions" drop-down, select “Send a Message to Student”

Overview

Academic Advisors use BoilerConnect’s Advanced Search feature to compile a list of their assigned advisees who have holds that impact registration. Advisors will send messaging to the students with information on how to find and remove common holds, as well as the importance of doing so prior to batch registration.

Intended Outcomes

The intended outcome of this outreach is to reiterate to students the existence of Registration Holds and inform them of the importance of removing holds prior to batch registration. Leveraging their preexisting relationship with students, advisors encourage student to go through the process to remove their holds or reach out for additional support if needed.

Fall – November

Spring – April

Intervention Process

  1. Access the "Advanced Search" tab in BoilerConnect
  2. In the drop-down “Student Information” enter “Registration Hold (REGHOLD)” into “Category (In Any of these)”
  3. In the drop-down "Term Data" select the current semester
  4. Select “My Students Only" checkbox at the bottom of the page
  5. Run report
  6. Select all students by clicking the checkbox at the top
  7. In the "Actions" drop-down, select “Send a Message to Student”

Use your judgment if you have context on regarding a student’s holds. You can use the below template email or tailor as you see fit.

Keep the below questions in mind as you reach out to these students:

  • Has the student already communicated with you requesting additional support in removing holds? If so - no need to duplicate outreach.
  • What is the deadline holds must be resolved by for the current semester?

Sample Message

Hello [student],

I am contacting you because I noticed you currently have a hold that impacts course registration. Working through the process to remove any holds, particularly those that impact registration, is important for securing a schedule in the batch registration process.  All holds must be removed by [date] to ensure your course requests go through. 

You can find specific information about your holds by clicking “Do I have any holds?” on your Registration tab in myPurdue.
